What can Kainat Events organise for a birthday?

Accepted Answer

We can take care of almost the whole celebration: the venue, concept and decoration, cake, catering, entertainment, photography of the setup, activities, invitations, transport, setup and clear-down. When we bring in suppliers or collaborators, we normally manage them too, so you have one main point of contact. Anything you arrange independently remains outside our responsibility.

Do you organise birthdays for children, teenagers and adults?

Yes. We plan children’s parties, teenage birthdays, adult celebrations and milestone birthdays. The style and level of support are shaped around the person and the kind of day you want.

Is there a minimum or maximum number of guests?

Accepted Answer

There is no strict minimum or maximum. A smaller guest list does not always make the main setup much cheaper: decoration, props, transport, preparation and labour can be similar for 2 guests or 20. Guest-dependent costs such as catering will usually change with the numbers.

Can you create a completely custom theme?

Accepted Answer

Yes. For the best result, allow around three weeks and share any Pinterest or Instagram ideas, reference photos, colours, characters or personal details you like. We may also ask about the person’s interests, music or favourite things, and can create personalised activities — for example, a quiz to see which guest knows them best.

What if I do not know what kind of birthday I want?

That is completely fine. Tell us the person’s age and interests, the date, your rough budget and anything you already know. We can help turn those starting points into a clear celebration idea without asking for unnecessary personal information.

How does pricing work, and is there a minimum budget?

Accepted Answer

There is no universal birthday package or fixed public minimum. Every quotation is built around the idea, logistics and budget, and we may show a simpler, balanced or more elaborate direction where useful. Planning, transport, setup and labour create a practical starting level, so once we understand your priorities we will explain what is realistically achievable.

How far in advance should we book?

For a fully customised birthday, we recommend at least three weeks. A simpler celebration using themes or pieces already available may sometimes be possible with around one week’s notice, depending on the date, stock and suppliers.

Can you organise a last-minute birthday?

Accepted Answer

Sometimes. It depends on the date, available decoration, theme, suppliers and your expectations. If suitable pieces are already available, we may be able to move quickly; with only a day or two, a completely new custom concept may need to become the strongest realistic alternative instead.

Question 9

How do the deposit and payments work?

Accepted Answer

Once you accept the quotation, the standard booking structure is a 50% advance payment and the remaining 50% on completion. Preparation begins after the advance has been received.

Question 10

What happens if I cancel?

Accepted Answer

Once the quotation has been accepted, the advance paid and preparation has begun, the advance is non-refundable. By then, materials, supplier reservations, venue payments or work created specifically for your celebration may already have been committed.

Can you help us find a venue?

Accepted Answer

Yes. You can come with a venue, choose one yourself or ask us to suggest suitable options. We work with venue collaborators and can recommend places according to guest numbers, style, practical needs, budget and whether you need an indoor or outdoor setting.

Question 12

Which areas do you cover?

Accepted Answer

We work across Barcelona, Castelldefels, Sitges, the Costa Brava and wider Catalonia. For somewhere further away or with more complex access, we will confirm feasibility and transport before preparing the quotation.

Can I change the date or venue after booking?

Accepted Answer

Changes may be possible with enough notice. If you chose the venue, its own conditions will apply; if we have already paid a non-refundable venue or supplier deposit, that cost cannot be recovered and an additional charge may be needed.

What happens if the weather is bad?

Accepted Answer

For outdoor celebrations, we normally recommend a venue with a practical indoor or back-up option and explain the risks before booking. If you knowingly choose an outdoor-only plan, costs already committed cannot be refunded simply because the weather disrupts the event.

Question 15

Can you arrange the cake, catering and entertainment?

Accepted Answer

Yes. Depending on the celebration, we can arrange cake, catering, inflatables, trampolines, children’s or adult games, personalised activities and other entertainment. You may organise any of these yourself, but independently managed services remain outside our responsibility.

Question 16

Do you handle setup and cleanup?

Accepted Answer

Yes. Once access, timing and requirements are agreed, you do not need to be present while we set up; everything will be ready for the agreed start time. We return at the agreed collection time to remove our reusable decoration, props and equipment; these remain Kainat Events property, and loss or damage may lead to an additional charge. We may photograph the setup and styling for our portfolio, but guests or children are never automatically photographed for promotional use, and any video testimonial is requested only with consent.

How quickly do you reply, and how should I contact you?

WhatsApp is the easiest way to share ideas, reference images and changes: +34 677 875 778. During normal working hours we often reply within around an hour and generally on the same day, without promising instant 24/7 support. The team can communicate directly in English, Spanish, Catalan, Urdu and Hindi; the website itself remains in English and Spanish.

Are initial consultations free?

Basic enquiries and normal initial conversations by WhatsApp, phone or video call are free, with an in-person meeting where appropriate. If you need substantial planning or a detailed quotation process before committing, a planning fee may apply from approximately €30 — we would always make that clear first, and it does not apply to every quotation.
